How to Send an Invoice From Your Phone
Create an invoice in the FixAm app, add items and amounts in GHS, then share a link or PDF on WhatsApp. Customers see your MoMo number to pay you.
You do not need an invoice template, a printer or a laptop. The FixAm app makes a numbered invoice on your phone, with your name, your FixAm ID and your mobile money number on it. You send it to the customer on WhatsApp as a link or a PDF, and they pay you directly.
Invoices are free to send. You can create them once your account is verified.
Create an invoice
- Open the FixAm app and tap the Dashboard tab.
- Scroll to Money and tap Invoices and receipts.
- Tap New invoice.
- Under Customer, type the Customer name (required). The Customer phone is optional. Only you see it. It never prints on the invoice or shows on the customer's page.
- Add each item: a Description, the Quantity and the Unit price (GHS). Tap Add item for the next line. Put labour and materials on separate lines, for example "Labour: rewire kitchen" and "13A sockets", so the customer sees what they pay for.
- Add a Discount (GHS, optional) if you agreed one.
- Add a Note (optional, printed on the invoice). Use it for things like "Materials included. 3 months warranty on labour."
- Pick a Due date: Today, 3 days, 7 days, 14 days, 30 days or No due date.
- Check the Pay to line. It shows the mobile money number customers will pay. If it says there is no number yet, tap Set your mobile money number first.
- Tap Send, or Save draft to finish later.
The app adds up the subtotal and total. Each invoice gets the next number, INV-0001, INV-0002 and so on, automatically.
Share it as a link or a PDF
When you tap Send, the invoice opens with two buttons:
- Share link sends a fixam.pro/i/ link. The customer taps it and sees the invoice in their browser, with no app and no sign-up. This works best on WhatsApp.
- Share PDF sends an A4 PDF file. Use it when a customer, a company or an estate office wants a document to file.
Pick WhatsApp from your phone's share menu, choose the customer and send. The customer's page shows your name, your FixAm ID, the green ID verified badge, the items, the total and a Pay to block with your mobile money number. They can also tap Download PDF or Message on WhatsApp to reach you.
Your mobile money details come from Payment details on the dashboard. Add your MoMo number to your invoices shows how to set them once for every invoice.
Draft, Sent, Paid and Void
Every invoice has one of four statuses. Filter your list by them on the Invoices tab.
- Draft: saved but not sent. You can change anything. If you share a draft link, the customer's page shows a Draft label.
- Sent: you sent it and the customer has not paid yet. You can still edit it. Tap Edit, make the change and tap Save and share to send the updated version.
- Paid: the customer paid and you marked it. It can no longer change.
- Void: cancelled. Use Void when the job was called off or the invoice was a mistake. You type VOID to confirm. A void invoice cannot be edited, sent or paid, and its number is never used again.
Paid and void invoices are locked so your records and the customer's copy always match.
Mark it paid
When the money arrives:
- Open the invoice and tap Mark paid.
- Under How did they pay? choose Cash, Mobile money, Bank transfer or Other.
- Under When? choose Now, Yesterday, 2 days ago or 1 week ago.
- Tap Confirm paid.
The invoice turns to Paid, and the app makes a receipt for the full amount with its own number, starting RCP-0001. The customer's invoice page now shows a PAID stamp and a link to the receipt. Share the receipt on WhatsApp so they have proof of payment. Give a customer a receipt covers receipts, including cash jobs with no invoice.
Every payment you mark counts in Earnings, where you can download a statement. Track your earnings explains it.
